UW Facilities Stores provides order processing, stock inventory management and sales, and campus deliveries and expediting services in support of UW Facilities operations. Facilities Stores stocks over 6,000 unique parts valued at approximately $1M located at three physical store locations on UW Seattle Campus.
We have an outstanding opportunity for a Stores Inventory Specialist.
The Inventory Specialist works independently under the direction of the Facilities Stores Manager and is responsible for monitoring, assessing, and providing direction in the management of stock inventory.
Primary Duties and Responsibilities
Track inventory with regard to the volume, use, placement, and availability of stock on hand to ensure the warehouses match the stock levels of the inventory management system. Reconcile, report on, and make recommendations regarding stock levels. Assist with identifying the causes for and the prevention of inventory shrinkage to minimize losses and ensure stock is issued correctly.
Develop replenishment practices and assist with the development and implementation of strategic plans associated with stock placement, stock replenishment, and discontinued stock.
Participate in ongoing inventory process improvements. Evaluate inventory turn rates. Conduct ongoing reviews of inventory min/max levels in all through UW Facilities Stores warehouses. Update vendor catalog and inventory part profiles to make them searchable and user friendly for customers.
Monitor, evaluate, and complete customer ad hoc requests to add new parts to inventory; update inventory catalog locations, update inventory part profiles, and update inventory part purchasing catalog. Interact with trades shop supervisors and leads and other UWF staff to assess current and future inventory needs.
Assist with inventory management associated with the SKU [Stock Keeping Unit] setup, removal, coding, refinement, and characterization of SKUs.
In collaboration with Stores Assistant Manager, prepare and conduct daily audit of all three UW Facilities Stores locations. Research inventory discrepancies by conducting recounts, checking for overstock, checking for Unit of Measure problems, and other research methods. Develop and report on metrics to reduce inventory discrepancies in all three UW Facilities Stores locations.
Prepare and conduct audit of all UW Facilities Shop inventory warehouses. Make recommendations to management regarding management of shop inventories. Adjust shop inventories as needed and update inventory min/max levels.
Prepare and conduct audit of UW Facilities Stores Refrigerant program to ensure compliance with EPA and University rules for the purchase, handling, and record keeping requirements for refrigerants. Prepare inventory audit report to track performance, audit trends and comparisons along with action items and recommendations for process changes to improve performance.
Prepare and conduct other annual operational inventories to include EIO equipment, Materials Management Computer equipment, and Materials Management key inventory.
Assist Stores Manager in planning and performing a review and removal of obsolete inventory parts. Establish criteria for part removal, ensuring customer buy-in. Determine if there are replacements for obsolete parts. Prepare report on financial impact(s) associated with inventory write-offs.
Develop standard operating procedures (SOPs) that will have the best impact on operations, avoid adverse impacts, maximize operational efficiencies, and comply with fiscal requirements.
Communicate inventory and operational changes to customers; prepare and distribute customer notifications and newsletters; update Stores website, digital sign, and bulletin boards.
Prepare and refine monthly, quarterly, annual inventory and operational metrics. Key measures include but are not limited to: delivery metrics for shop and custodial supplies, diverse business spend, and inventory flow.
Prepare financial reports associated with inventory value on hand and spend for critical supplies and other commodity types.
Conduct ongoing analysis of UW Facilities Stores spend with diverse business defined by the UW Board of Regents Policy Statement 60 (Statement of Business Equity for the University of Washington) and State of Washington OMWBE registered businesses. Ensure diverse business information and diverse spend metrics are up to date and reported accurately.
Participate in and follow through with M&C process improvement initiatives including Balanced Scorecard (BSC), incorporating Lean principles into internal work processes, and promoting employee engagement in continuous improvements and innovation.
Provide coverage for program coordinators in order processing and at the service counters associated with planned and unplanned absences.

•Bachelor’s degree •A minimum of two years’ experience providing high level program coordination or administrative support in inventory management, supply chain management, logistics, or related field. •Commitment to effective collaborative relationships and teamwork; respectful and effective communication with all levels of staff and leadership. •Excellent written and verbal communication •Demonstrated ability to operate with a sense of urgency to support complex project, presentations, and meetings. •Able to accurately process large volumes of transactions, manage multiple priorities and meet deadlines. •Exemplify Materials Management’s strong commitment to service excellence. •Exceptional interpersonal communication and competently facilitates difficult discussions to move toward positive resolutions •Demonstrated ability to work independently with minimal supervision •Exemplifies a high degree of autonomy, personal initiative, discretion, professionalism, flexibility and independent judgment. •Strong team player willing to take on tasks needed and identify and implement process and work flow improvements to gain efficiency and improve customer service. •Intermediate Excel Skills (e.g. VLOOKUP, pivot tables) or ability to quickly develop these skills
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
•Possession of a valid Washington State driver’s license. •Experience with AiM or other Integrated Workplace Management System software •Experience or knowledge of process improvement tools such as Lean, Balanced Scorecard other similar systems, in a multi-functional operational environment •Experience developing Standard Operating Procedures that aid staff training/staff education •Advanced Excel Skills (e.g. VBA, conditional formatting, Solver, external data connections, array formulas etc.) •Basic MS SQL Server query proficiency and basic Visual Studio Proficiency •Inventory management experience •Experience designing and presenting metrics and reports
